Understanding Your Template Options

The SUPR Workflow Management System includes 9 templates designed to work together or independently. Your success depends on selecting the right combination for your specific program needs.

Program Type Assessment

Solo Practitioner (1 clinician)

  • Core Need: One population-specific SUPR tracker
  • Recommended: Adolescent OR Adult OR IOP tracker + Client History Database

  • Optional: One client dashboard format for comprehensive documentation

  • Skip: Site-Specific Referral Management (unless managing multiple referral sources)

Small Team (2-5 clinicians)

  • Core Need: Population tracker + team collaboration tools
  • Recommended: Primary population tracker + Client History Database + Digital Client Dashboard
  • Consider: Site-Specific Referral Management if serving multiple locations
  • Team Factor: Choose digital formats for easier sharing

Multi-Site Agency (6+ clinicians, multiple locations)

  • Core Need: Complete system integration
  • Recommended: Site-Specific Referral Management + all relevant population trackers + multiple dashboard formats
  • Strategy: Implement one site first, then scale across locations
  • Management Factor: Digital formats with centralized oversight capabilities

Population-Specific Selection

Adolescent Programs

  • Primary: Adolescent SUPR Caseload Tracker
  • Features: Parental consent tracking, grade levels, school integration
  • Best For: School-based programs, youth counselors, family-focused services
  • Avoid: Adult-specific employment/housing fields

Adult Programs

  • Primary: Adult Outpatient SUPR Tracker
  • Features: Employment status, housing stability, legal involvement
  • Best For: Community mental health, outpatient substance abuse, adult counseling
  • Risk Factors: Includes red-coding for homelessness and parole status

Intensive Programs

  • Primary: IOP Tracker
  • Features: Group attendance, program hours, step-down planning
  • Best For: Intensive outpatient programs, PHP, high-frequency services
  • Focus: Attendance monitoring and intensive compliance cycles

Mixed Populations

  • Strategy: Use multiple population-specific trackers
  • Organization: Separate sheets for different age groups
  • Coordination: Client History Database for unified discharge tracking

Workflow Preference Selection

Tech-Comfortable Teams

  • Choose: Digital Client Dashboard
  • Benefits: Real-time updates, mobile access, automated calculations
  • Requirements: Google account, reliable internet, digital comfort
  • Best For: Teams who prefer screen-based workflows

Hybrid Workers

  • Choose: Editable Printable Client Dashboard
  • Benefits: Type then print, tablet compatibility, agency customization
  • Features: Logo insertion, field modification, team template sharing
  • Best For: Mix of digital and paper workflows

Paper-Preferred Staff

  • Choose: Handwritten PDF Client Dashboard
  • Benefits: No technology requirements, field-ready, familiar process
  • Features: Professional printout, works anywhere, immediate access
  • Best For: Court work, home visits, technology-resistant teams

Decision Framework

Step 1: Identify Your Primary Population

  • Primarily adolescents = Adolescent SUPR Tracker
  • Primarily adults = Adult Outpatient SUPR Tracker
  • Intensive programming = IOP Tracker
  • Mixed populations = Multiple trackers needed

Step 2: Assess Team Size and Structure

  • Solo/Small = Focus on essential tracking tools
  • Medium = Add collaboration features
  • Large/Multi-site = Implement comprehensive system

Step 3: Choose Documentation Format

  • Digital preference = Digital Client Dashboard
  • Hybrid needs = Editable Printable Dashboard
  • Paper workflow = Handwritten PDF Dashboard
  • Mixed team = Offer multiple format options

Step 4: Consider Additional Needs

  • Multiple referral sources = Add Site-Specific Referral Management
  • Historical tracking = Client History Database (recommended for all)
  • Complex compliance = Full system implementation

Common Selection Mistakes

Over-Implementation

  • Starting with all 9 templates simultaneously
  • Choosing complex options when simple ones suffice
  • Implementing before understanding workflow needs

Under-Implementation

  • Skipping Client History Database (loses institutional memory)
  • Not customizing templates for specific population
  • Avoiding digital options due to unfounded technology concerns

Mismatched Selections

  • Adult tracker for adolescent programs (missing parental consent)
  • Solo practitioner implementing multi-site tools
  • Paper dashboards for highly collaborative teams

Testing Your Selection

Pilot Period Recommendations

  • Start with one template for 1-2 weeks
  • Test with 5-10 current clients
  • Evaluate daily workflow integration
  • Gather team feedback before expanding

Success Indicators

  • Daily usage becomes routine
  • Compliance tracking improves
  • Team finds system helpful, not burdensome
  • Reduces (not increases) administrative stress

Adjustment Signals

  • Frequent formula errors or technical issues
  • Team resistance or inconsistent usage
  • Information gaps in current workflow
  • Duplicate tracking across multiple systems

Implementation Sequence

Phase 1: Foundation (Week 1)

  • Select and implement primary population tracker
  • Load current active caseload
  • Test basic functionality with real data

Phase 2: Documentation (Week 2)

  • Add chosen client dashboard format
  • Integrate with existing workflow
  • Train team on both systems

Phase 3: System Integration (Week 3-4)

  • Add Client History Database for discharge tracking
  • Implement referral management if needed
  • Establish ongoing maintenance routines
